Sourcing field notes
Toy Sourcing Brief Template & RFQ Checklist
Download a toy sourcing brief template. Record product references, quantities, packaging, sales market and delivery requirements before requesting quotes.
Make supplier replies comparable.
A photo alone leaves too many choices open. Send one row per SKU or reference, with the purchasing unit and the changes you want. The workbook contains an editable Sourcing Brief sheet and a separate Supplier Comparison sheet.
Take the working sheets.
Sourcing brief and three-supplier quote comparison. Editable Excel file.
Fill these fields before sending.
| Field | Useful detail | Why it matters |
|---|---|---|
| Reference | Catalog URL / SKU, photo link or your own specification | Avoid quoting a similar-looking product with a different construction. |
| Quantity | Units per SKU, units per retail set and desired case pack | Separate product minimums from set assembly. |
| Packaging | Stock pack, brand label, header card, sleeve or custom box | Identify printing and packing work. |
| Sales plan | Country, sales channel and intended buyer / age positioning | Identify relevant packaging and product-document questions. |
| Cost basis | Target currency, unit cost and requested handover term | Compare quotes with the same inclusions. |
| Timing | Required arrival date and any fixed launch event | Work backwards through approvals and freight rather than guessing one lead time. |
| Approval | Sample decision-maker, artwork revision and acceptance points | Reduce confusion when a design changes. |
Example brief for an actual stock SKU.
Product: Maltose Ice-Cube Squishy 3.5 cm / STS348379. Start with the recorded stock minimum of 1 cartons / 264 pcs and OPP packing. Request a separate quote for a brand label, confirm the print minimum and ask whether the factory case pack changes.
Add your own destination, sales channel, arrival date and target cost. This is an example request structure, not a confirmed packaging offer.
What the sourcing desk should return.
Ask for product photos, the exact model, purchasing unit, quantity basis, current stock or production status, packaging options, quote inclusions and the next sample approval. Keep unanswered items visible rather than treating a blank as zero cost.
Share the completed sheet through a link our team can access in the sourcing brief form, or send it to the email address shown there. See the sourcing service scope.
